Financial Arrangements

This is an unpaid Erasmus+ traineeship. SWS does not provide a salary. Applicants should enquire about Erasmus+ funding through their sending university. Grant eligibility, availability and duration are determined by the sending institution. SWS provides the practical support described on this page.

01

Areas You Can Explore

You will begin by becoming familiar with our main areas of activity. Together, we will then agree on the primary focus of your traineeship, taking into account your field of study, interests and learning objectives. Your work may combine tasks from several areas.

01

International Events Management

Contribute to the preparation and organisation of international scientific and interdisciplinary events: programmes and schedules, communication with speakers and participants, preparation of materials, registration and session coordination.

You can also gain experience in organising hybrid events, including using Zoom and supporting remote participants. Specific opportunities depend on the events scheduled during your traineeship.

02

Academic Publishing, Design and Prepress

Gain practical experience with academic journals, books, monographs and conference proceedings. Tasks may include editorial coordination, correspondence with authors, checking and preparing materials, proofreading, layout and prepress preparation.

Students with relevant skills may also contribute to graphic design, book covers and visual materials.

03

Research Databases and Digital Libraries

Work with bibliographic records, metadata, DOI and ORCID information, data accuracy and consistency, and the organisation of scholarly content.

You will gain insight into how publications are described, connected and presented to make them discoverable and useful to the research community.

04

Digital Platforms and Communication

Contribute to creating and updating content, preparing visual and multimedia materials, testing functionality and improving how information is presented.

Depending on your background, tasks may involve user experience, digital communication and content organisation.

05

Projects Connecting Science and the Arts

Contribute to interdisciplinary initiatives, the communication of scientific and creative ideas, and the preparation of materials for When Science Meets Art.

Where suitable opportunities arise, you may also help develop educational and digital content for SWS Academy.

06

International Cooperation and Administration

Gain experience in correspondence and coordination with researchers, universities, academies of sciences, authors, artists and international partners.

Practical tasks involve documents, information, deadlines and the organisational processes supporting our main activities.

02

What You Will Learn and Develop

  • How an international project progresses from preparation to delivery.
  • How to communicate professionally with people from different countries and academic backgrounds.
  • How to organise tasks, deadlines, documents and information.
  • How academic publishing workflows and scholarly content are managed.
  • How digital tools are used in an organisational setting.
  • How to work independently and within a team, with attention to accuracy and quality.
  • How to communicate your ideas and discuss the results of your work with colleagues.

Daily activities and international correspondence will also help you develop your professional English, both written and spoken.

03

Mentoring and Professional Development

You will have a designated mentor, individual learning objectives and regular feedback. You will contribute to practical tasks and stages of our ongoing projects, matched to your skills and interests. Your progress and results will be discussed with your mentor throughout the traineeship.

We also offer:

  • A monthly professional session with an editor, event organiser, designer, researcher or another specialist, featuring practical examples and opportunities to ask questions.
  • Access to selected scientific and arts sessions taking place during your traineeship, with opportunities to meet speakers, authors and participants.
  • The opportunity to include approved, non-confidential work in your professional portfolio.
  • A traineeship certificate describing your activities and the skills developed.
  • A personalised letter of recommendation, subject to satisfactory performance.
  • A book from our publications, where possible related to your interests or work during the traineeship.

Mentoring, professional sessions and work on project tasks form part of the agreed weekly traineeship hours.

04

Practical Support and Team Life

  • A Vienna public transport pass throughout your traineeship in Vienna.
  • Guidance and assistance with finding student accommodation, including information about residences and networks such as ÖJAB. Students are responsible for submitting applications and arranging their accommodation.
  • A welcome lunch.
  • One or two informal gatherings each month with supervisors and colleagues, organised by SWS — for example, at an Irish pub or another welcoming venue in Vienna.
  • Unlimited coffee, tea, milk and water, along with biscuits and small sweet treats in the office.
05

Duration and Availability

Our preferred traineeship duration is three to six months. Exceptionally, arrangements totalling up to twelve months in two separate periods, with an agreed interruption, may be considered. Dates, learning objectives and continuation arrangements must be agreed in advance with the student and sending university, subject to availability and Erasmus+ eligibility.

Our regular Vienna traineeship programme runs from September to June. We do not provide a traineeship programme in Vienna during July and August, when our team is engaged in organising and delivering international events in other European countries.

For our first intake in 2027, regular Vienna placements are planned between 1 February and the end of June. Duration and any continuation will be agreed accordingly.

07

Schedule and Location

The traineeship takes place in person in Vienna, normally for 30–35 hours per week, Monday to Friday, with the day starting at 09:30.

The exact weekly hours, daily schedule and breaks are agreed before the traineeship begins, taking into account the learning objectives, selected area of activity and sending university’s requirements. These arrangements are recorded in the Learning Agreement for Traineeships.

Participation in events may involve changes to the daily schedule, agreed in advance and within the overall agreed hours.

Location: Haidingergasse 1, 1030 Vienna, Austria.

08

Who Can Apply?

We welcome students enrolled in Bachelor’s and Master’s programmes who have excellent digital literacy and English at B2 level or above, a willingness to learn, a responsible approach and an interest in contributing actively to practical projects.

Relevant fields include events management, business administration, publishing, graphic design and visual communication, IT, media and communications, information science, the arts and cultural management. Students from other disciplines may also be considered where there is a suitable connection to our activities.

Additional languages are an advantage. Experience with Zoom, photography, video or design tools can be useful for particular tasks.

Participation and learning objectives must be agreed with the sending university. We assist with the Learning Agreement for Traineeships and the documentation required for completion and recognition of the placement.
