01

Areas You Can Contribute To

You will begin by becoming familiar with our activities and team. Together, we will identify a primary area of involvement and suitable tasks where you can contribute your skills and develop further experience.

01

Science Communication and Accessible Knowledge

Help communicate scientific ideas, research and topics to wider audiences through short articles, interviews, thematic features and visual stories.

You may contribute to materials that help readers discover reliable sources and better understand the relationship between research and society. Content is developed with guidance and editorial review from the team.

02

Science, Arts and Cultural Initiatives

Contribute to When Science Meets Art initiatives that bring scientific and creative perspectives together.

Activities may include preparing features and interviews, communicating with researchers and artists, developing visual materials and supporting discussions, meetings and other interdisciplinary formats.

03

Educational and Arts Events

Contribute to the preparation of selected scientific, educational and cultural events through topic research, programme materials, participant communication and outreach.

Where appropriate, you may also collaborate with the KongressExpert team, which brings together expertise in event organisation, digital solutions and visual presentation.

You will gain insight into how an idea develops into an event for an audience, while contributing to specific stages of its preparation.

04

Digital Communication and Creative Content

Help prepare texts, images, infographics, photography and video materials for our scientific, educational and cultural initiatives.

Depending on your skills, you may also contribute to improving public content, the presentation of information and the usability of digital resources.

05

Educational Resources and SWS Academy

Contribute to the preparation and organisation of selected learning materials, digital content and thematic resources for SWS Academy.

Participants with relevant professional experience may also propose sharing their knowledge through a discussion, practical session or another agreed educational activity.

06

International Community and Language Support

Help connect people, ideas and initiatives across countries.

Activities may include communication with academic and cultural communities, research into relevant initiatives, and translation or language review of selected public materials. Your contribution will be matched to your language skills and experience.

02

How We Organise Your Participation

You will have a designated contact person, practical guidance when you begin and ongoing feedback.

You will contribute to specific tasks and stages of our ongoing initiatives, matched to your skills and interests. As you become more familiar with the activities, you will have opportunities to contribute more independently and suggest your own ideas.

We value accuracy, consistency and clear communication. You should understand how your contribution fits into the wider initiative and know whom to contact whenever you need guidance.

03

What You Can Develop

  • Professional communication in an international environment.
  • Skills in organising information, materials, tasks and deadlines.
  • Practical experience in scientific, educational and cultural communication.
  • Skills in creating and presenting digital and visual content.
  • A better understanding of how scientific and arts initiatives are prepared.
  • Independence, teamwork and attention to quality.
  • Professional English, both written and spoken.

Long-term involvement gives you time to understand the processes, build trust with the team and contribute with growing confidence.

04

Professional Exchange and Recognition

We offer:

  • Participation in existing monthly professional sessions with editors, event organisers, designers, researchers and other specialists.
  • Access to selected scientific and arts sessions taking place during your involvement, subject to the programme and availability.
  • Opportunities to connect with researchers, authors, artists and international partners.
  • The opportunity to include approved, non-confidential contributions in your professional portfolio.
  • Recognition of your authorship or contribution, where applicable and agreed in advance.
  • A Volunteer Certificate describing your period of participation, activities and skills developed.
  • A personalised letter of recommendation, subject to satisfactory performance.
  • A book from our publications, where possible related to your interests or an initiative you have contributed to.
05

Practical Support and Team Life

  • A Vienna public transport pass for the agreed period of participation in person.
  • A welcome lunch.
  • One or two informal gatherings each month with supervisors and colleagues, organised by SWS — for example, at an Irish pub or another welcoming venue in Vienna.
  • Unlimited coffee, tea, milk and water, along with biscuits and small sweet treats in the office.
  • Where needed, information and guidance on finding student accommodation, including residences and networks such as ÖJAB. Participants remain responsible for applications, arrangements and accommodation costs.

This is unpaid voluntary participation, with the practical support and opportunities for professional exchange described above.

06

Duration and Commitment

The programme is intended for long-term participation of at least three months, with a preference for six months. An extension up to twelve months may be discussed individually.

The expected commitment is at least 20 hours per week, preferably 25, following a regular schedule agreed in advance. This could, for example, be arranged as five hours per day over five days, or another suitable schedule.

Additional participation in specific initiatives is possible by mutual agreement, according to the volunteer’s interest and availability.

The activities, duration, schedule and conditions are discussed before participation begins and recorded in the relevant agreement.

07

Availability and Location

Regular participation in Vienna is planned from September to June.

We do not provide a regular volunteering programme in Vienna during July and August, when our team is engaged in organising and delivering international events in other European countries.

For longer collaborations spanning the summer, the schedule, any interruptions and arrangements for continuation must be agreed in advance.

Starting dates are arranged individually, according to available opportunities and the agreed period of participation.

Location: Haidingergasse 1, 1030 Vienna, Austria.

08

Who Is This Suitable For?

Adults interested in science, education, the arts and international cooperation who can make a regular commitment for the agreed period.

We welcome students, graduates and people with professional experience who would like to contribute their skills and develop new ones.

We look for:

  • English at B2 level or above for everyday communication.
  • Good digital literacy and relevant initial skills for the chosen area.
  • A responsible, accurate and consistent approach.
  • Willingness to collaborate and gradually take on tasks independently.
  • Respect for confidential information, copyright and different perspectives.
  • Availability for the agreed hours and duration.

Experience in communications, design, publishing, education, digital technologies, event organisation or the arts is an advantage, depending on the role.

Participants must have health insurance valid in Austria throughout their participation.
